Estimate the published RepCabin plan cost
This calculator uses the approved RepCabin price schedule for this guide, dated October 25, 2026. It estimates the software charge in US dollars, before tax. Implementation work, your team's time and any negotiated terms are separate. It does not create an order or charge a card. Confirm current terms on the pricing page.
$149,400 billed per year50 reps · Pro · $12,450 monthly equivalent
For 100 or more reps, the team size selects the large-floor price; the small-team plan selector does not apply. Access is arranged by written order. An annual monthly equivalent is not a monthly payment option. Review the published schedule.
| Reps | Purchase route | Per rep / month equivalent | Team / month equivalent | Annual amount paid up front |
|---|---|---|---|---|
| 50 | Pro | $249 | $12,450 | $149,400 |
| 100 | Large sales floor, written order | $349 | $34,900 | $418,800 |
| 250 | Large sales floor, written order | $279 | $69,750 | $837,000 |
What belongs in the price comparison
A per-seat rate is only one row in a cost model. Record seat count, active learner count, term, billing frequency, included usage, and whether seats can be reassigned. Ask how practice minutes or attempts are counted, whether unused allowance rolls over, what happens at a cap, and whether different plans have different session lengths or reporting.
Internal time is a real budget input even when it does not appear on an invoice. A team may need to approve playbook facts, configure scenarios, answer learner questions, review feedback, and update content after a product change. Estimate those tasks separately from subscription. Do not count the same employee hours as both labor cost and opportunity cost.
- Subscription: seats multiplied by the quoted per-seat amount and term.
- Usage: included minutes, sessions, or credits, plus any overage rules.
- Implementation: configuration, training, integration, and migration services.
- Internal operation: content owner, manager review, support, and reporting time.
- Procurement: security review, legal review, identity, and data-flow work.
- Renewal: changes to seats, price, service scope, and unused usage treatment.
Understand RepCabin's seat boundary
RepCabin's public pricing describes self-serve plans from 5 through 99 reps. Teams with 100 or more reps use the large-team written-order path. This distinction matters because a 100-seat buyer should request the applicable written proposal rather than extrapolate a checkout amount. Large-team rows describe monthly-equivalent annual rates and, for some sizes, annual prepayment; check the public page and written order for the current amount, included features, and payment schedule.
The plans have different daily practice minutes, call lengths, manager features, and usage arrangements. The large-team table describes pooled minutes across the team. When comparing plans, size the expected practice workload rather than dividing invoice by seats and assuming every package provides the same experience. The pricing page should be treated as current public information on the date checked, while the final signed order controls the actual commercial terms.
- For 50 reps, compare the plan that fits required features and usage, then calculate monthly and annual totals from the current published rates.
- For 100 reps, request a written order and confirm the correct 100 to 249 band, term, features, usage pool, and payment cadence.
- For 250 reps, request a written order and confirm the 250 to 999 band, including whether annual prepayment is required.
- For each size, model a low, expected, and peak usage month using learner counts and planned sessions.
- Keep any unquoted implementation or internal work visibly marked as an assumption until confirmed.
Compare annual and monthly terms carefully
Monthly billing and annual billing may have different displayed per-rep equivalents. Calculate both as cash outlay, not merely the monthly equivalent: monthly rate multiplied by seats and twelve months; annual rate multiplied by seats and twelve months if that is how the vendor states its monthly equivalent and bills once per year. Then record the actual invoice timing and any commitment.
A lower annual equivalent is not automatically cheaper for a team that may reduce seats or stop using the system. Compare the cash commitment, cancellation terms, seat adjustments, renewal uplift, and implementation costs. Ask the vendor to state whether support, training, and integrations are included. Record a written quote date and expiration date so the finance comparison is based on offers that can still be accepted.
| Cost input | Planning assumption | How to replace it |
|---|---|---|
| Scenario setup | 12 hours once | Track actual hours during a limited evaluation |
| Manager review | 2 managers x 30 minutes weekly | Use a weekly time log and attempt volume |
| Program administration | 3 hours monthly | Name recurring tasks and measure them |
| Loaded labor cost | $75 per hour | Finance supplies the organization's approved planning rate |
| Vendor implementation | Not estimated | Use the written proposal, not a guess |
A fictional worked model for 50, 100, and 250 reps
The following model isolates internal time so it does not accidentally imply a competitor or RepCabin subscription price. Assume, purely for planning, 12 setup hours, three monthly administration hours, and two managers spending 30 minutes each week reviewing practice. At a fictional loaded labor rate of $75 per hour, setup is $900. Ongoing work is about 7.33 hours per month: three administration hours plus approximately 4.33 manager hours.
Seat count changes software spend and potentially the amount of learner support, but it does not automatically multiply manager work. Review time depends on the chosen sample, practice cadence, and review policy. A 50-person team might ask a manager to review selected attempts; a 250-person team may need a sampling and escalation approach. Decide who reviews what before the rollout.
| Team size | Fictional setup | Fictional monthly operating time | Fictional annual labor at $75/hour |
|---|---|---|---|
| 50 reps | 12 hours | 7.33 hours | $7,500 including setup |
| 100 reps | 12 hours | 7.33 hours | $7,500 including setup |
| 250 reps | 12 hours | 7.33 hours | $7,500 including setup |
Questions to send with a quote request
Use the same questions for every shortlisted vendor. Ask for the exact package and number of seats. Ask what happens when practice usage reaches the allowance, whether the system blocks or charges overage, and who can see learner attempts. Ask whether managers can review transcript-grounded feedback, assign another attempt, or export the data. For a course-centered program, ask which delivery standards and identity integrations are included.
Request a year-one and renewal-year total-cost view with line items. If a vendor cannot publish a price, say quote required rather than estimating. Include procurement and legal questions in the vendor review, but do not infer compliance from a security page. Obtain the relevant documents and have the organization's responsible reviewers assess the actual service and contract.
- Seat minimum and maximum, reassignment policy, and growth bands.
- Billing frequency, annual commitment, cancellation, and renewal rules.
- Included usage and the exact behavior at a cap.
- One-time and recurring implementation, training, and support fees.
- Identity, LMS, CRM, and call-system connections included in the proposal.
- Data retention, access, deletion, subprocessors, and contract terms to review.
Questions buyers ask
Can I estimate a 100-seat price from the 50-seat checkout rate?
Do not assume so. RepCabin routes 100 or more reps through written-order pricing, and other vendors may have separate enterprise packaging. Request a quote for the exact team size, usage, plan, and term.
Should I compare annual equivalent price or annual cash due?
Record both. The annual equivalent helps compare rates, while annual cash due shows the actual invoice and commitment. Verify billing cadence and cancellation terms in the written offer.
How should I price manager time?
List recurring tasks, estimate or measure hours, and apply the finance-approved loaded labor rate. Track setup separately from monthly operations. Use a limited evaluation to replace assumptions with actual workload.
